The Therapy Process

What should I expect in our first session together?

In our first visit, we will focus on getting to know each other. You can share what’s on your mind, what's been going on, and we will talk about how we can work together.

How long do our therapy sessions usually last?

Most sessions last about 50 to 55 minutes. This gives us plenty of time to check in, work on new skills, and make a plan for the week ahead without feeling rushed.

How often will I need to come in for appointments?

Most people find that meeting once a week works best, especially at the beginning. As you start feeling stronger and reaching your goals, we might decide to meet every other week or monthly instead.

How long will I continue to stay in therapy?

Therapy lasts as long as it is helpful for you. Some people reach their goals in a few months, while others stay longer to work through bigger things—it is always your choice.

How will I know if therapy is actually working for me?

You will know it is working when you start to feel more more understood,  supported, and making progress towards your goals. We will also celebrate small wins together every step of the way!

Before our first visit, we will verify your coverage to ensure we have the most up-to-date information. If you're unsure about your specific plan, feel free to reach out and we can check for you.

What if I am out-of-network or uninsured?

If we don't work directly with your insurance, we offer a self-pay option on a sliding scale. Email us to find out more.

How do copays and deductibles work?

Depending on your plan, you may have a copay due at each visit or a deductible that needs to be met first. We recommend contacting your insurance carrier to understand your specific out-of-pocket responsibilities. We will always do our best to help you navigate these details so there are no surprises.

What payment methods do you accept?

For your convenience, we accept all major credit cards, debit cards, and health savings account (HSA/FSA) cards. 

What is the cancellation or no-show policy?

We value our time together and ask for at least 24 hours' notice if you need to reschedule or cancel an appointment. This allows us to offer that time to another person who may be waiting for support. Appointments cancelled with less than 24 hours' notice will be subject to a standard late-cancellation fee.

Hartwell Counseling uses SonderMind as its secure EHR system for scheduling, documentation, and billing.
